A project is a production workspace. Stages describe its work, drafts hold review iterations, and final approval identifies the accepted release.
- Plan and assign
- Create or upload
- Review and revise
- Approve and deliver
Free or Strict workflow
Section titled “Free or Strict workflow”Free workflow allows stages to proceed independently where there are no other restrictions. Strict workflow makes stages wait for preceding work. Flow can also express explicit dependencies and parallel paths.
A deadline records when work is due. A dependency records what must finish first. Use Flow and dependencies when several branches need to converge.
Tasks and content
Section titled “Tasks and content”A plain task can describe work such as booking a location. An upload stage provides video, audio, images, or a document. These supported upload flows create a paired review; the review is where the relevant draft receives feedback and a decision.
A collaborative document stays editable in its own stage, while a Link stage collects references. See content types before choosing the stage.
Responsibility and decisions
Section titled “Responsibility and decisions”Assignees execute the stage; Approvers decide whether work is accepted. Team roles and project overrides control which operations each person may perform.
Completed means work was finished. Approved records approval. A resolved comment, favorite, or reaction doesn’t replace either action. Use Request Changes when the selected draft needs another iteration.
Revisions and reopening
Section titled “Revisions and reopening”New material after a revision request becomes the next review iteration. Keep feedback with the correct version and check the stage’s revision limit.
Authorized reopening can make completed or approved work editable again. It may also lock downstream work in a dependency or Strict workflow. Check the affected stages before changing accepted material.
Release and client access
Section titled “Release and client access”Select approved assets for the final release and complete project approval. A client’s portal shows only the shared project/stages and permitted actions. Sharing access isn’t itself approval or publication to another service.
For a stalled stage, use the status reference and check its prerequisites, required file, approval state, and your permissions.
